Our client, a growing commercial real estate investment firm with assets across Canada, are seeking an Administrative Assistant to join their office in Regina for a short-term contract coverage.

Administrative Assistant Duties & Responsibilities:
  • Greet and assist visitors, clients, and tenants in a professional and courteous manner.
  • Answer, screen, and direct phone calls to the appropriate departments.
  • Manage incoming and outgoing mail, including courier services.
  • Maintain a tidy and welcoming reception area.
  • Assist the property management and operations team with scheduling appointments, meetings, and preparing documents.
  • Handle data entry, filing, and maintenance of tenant and property records.
  • Prepare correspondence, reports, and presentations as needed.
  • Maintain office supplies and inventory, ensuring items are ordered and restocked as required.
  • Assist with invoice processing, payment tracking, and other accounts payable/receivable tasks.
  • Respond to tenant inquiries and assist with property-related requests.
  • Coordinate tenant communications, notices, and documentation.
  • Update and maintain tenant contact information and files
  • Assist in organizing company events, meetings, and other activities.
  • Provide support to the property management team in managing building access, keys, and security processes.
  • Collaborate with other team members to ensure smooth day-to-day operations.
Administrative Assistant Qualifications:
  • High school diploma or equivalent; additional education in office administration or a related field is a plus.
  • Proven experience as a receptionist, administrative assistant, or similar role. Experience in real estate environments are preferred but not required.
  • Proficiency in MS Office (Word, Excel, Outlook); experience with property management software (Yardi, MRI, etc.) is an asset.
  • Excellent communication skills, both verbal and written.
  • Strong organizational skills with the ability to multitask and prioritize tasks.
  • Professional appearance and attitude
  • Friendly and engaging demeanor with excellent communication skills
Administrative Assistant Compensation:
The successful candidate will receive an hourly wage between $21-$21/hr and a vibrant and welcoming environment.
