Office Manager – Vancouver, BC

Our client, a  fast-paced, thriving biotech company in Vancouver, BC, is looking for an experienced Office Manager to support their expanding operations. SUMMARY

The Office Manager will play a key role in keeping the organization running smoothly by overseeing a range of administrative, organizational, and people-focused responsibilities. The ideal candidate has hands-on experience in administration, HR coordination, event planning, and office management within biotech or high-tech companies. Success in this role requires an energetic, solutions-oriented individual who thrives in dynamic environments and can balance multiple priorities with precision and confidence.

 

ROLE AND RESPONSIBILITIES

  • Act as the go-to person for office operations, including space management, supplies procurement, and coordinating with building facilities, vendors, and security to ensure everything runs smoothly.
  • Provide travel support and coordinate conference participation for senior leadership and medical affairs, partnering with external travel vendors to maximize efficiency while adhering to company policies.
  • Collaborate with external HR service providers and internal teams to ensure recruiting processes reflect the company’s values and are executed efficiently.
  • Work cross-functionally with departments such as Commercial Operations, Scientific Operations, and QA to align office policies and processes with industry best practices and internal standards.
  • Ensure all office technology and equipment are functioning properly by working closely with IT, maintaining a productive work environment for all employees.
  • Handle incoming mail and deliveries, ensuring timely routing to the appropriate teams, and serve as a backup for notifying lab staff of important scientific deliveries.
  • Greet visitors and coordinate their arrival with building security, assist in meeting logistics, and support onsite meetings with external stakeholders, candidates, and partners.
  • Support new employee onboarding by coordinating access passes, distributing materials, and ensuring a smooth administrative start in collaboration with HR and finance.
  • Respond to office-related queries and direct them to appropriate team members when needed.
  • Plan and execute both onsite and offsite events, including staff gatherings, team-building activities, and conferences, ensuring seamless coordination and execution.

  • QUALIFICATIONS AND EXPERIENCE

  • Minimum of 3 years of experience as an Office Manager or Senior Administrative Assistant, ideally in fast-paced or high-growth environments.
  • Strong organizational and time-management skills, with the ability to prioritize tasks and manage multiple responsibilities effectively.
  • Exceptional problem-solving abilities, attention to detail, and resilience under pressure.
  • A proactive and creative approach to finding improvements in office processes and creating an optimal work environment.
  • Proficiency with MS Office (Word, Excel, PowerPoint, Outlook) and a strong aptitude for learning new tools and software.
  • Experience with bookkeeping or human resources tasks, such as CPHR coursework, is an asset.
  • Excellent verbal and written communication skills, with the ability to adapt messaging to different stakeholders.
  • A collaborative, team-oriented mindset with a positive attitude and the resilience to thrive in a dynamic, fast-moving organization.

  • Must have the authority to work in Canada.
