THE COMPANY

Our client is a leader, owner, operator and developer of mixed-use Real Estate across Canada.

THE ROLE

The Property Administrator is a key member of the Property Management Team and provides administrative support to the Property Management team, reporting into the Senior Property Manager.  This individual will be responsible for a variety of services related to the operation of retail and commercial properties inclusive of but not limited to bank deposits, Accounts Receivable (A/R) reporting, Accounts Payable (A/P) processing, budgeting, supplier invoices, rent roll review and production, tenant liaison and communication.

RESPONSIBILITIES
  • Assist with Accounts receivable reporting and support.
  • Complete bank deposits and form filling.
  • Issue Demand/default/termination notices to tenants and provide related reporting.
  • Review monthly rent roll for accuracy.
  • Review Pre-Authorized Debit report.
  • Review and prepare Tenant Notification Letters.
  • Tenant refunds/Stop Billing Notices/Last Month Rent application/Security deposit application.
  • Prepare and process Write offs/Take into Income.
  • Input and maintain Accounts Receivable Commentary.
  • Prepare, process P.O.s and payment processing of invoices.
  • Day-to-day management of accounts payable issues and supplier invoices/procurement.
  • Coordinate Tenant Move-In and Move-Outs.
  • Send and collect tenant chargeback invoices.
  • Assist with review and approval of tenant signage, directories, pylon signs etc.
  • Periodic reception coverage, as required.
  • Assist with JV/partner reporting.
WHAT'S REQUIRED
  • Three to five years of commercial / retail property administration experience.
  • Previous experience and proficiency in accounting and financial management (A/P & A/R).
  • Strong customer service orientation.
  • Excellent planning and organizational skills.
  • Strong software application skills (MS Office & Excel).
  • Strong written and verbal communication skills.
  • Ability to work independently, as well as within a team.
  • Able to communicate effectively and professionally, both oral and written and to develop and sustain cooperative working relationships with senior management, contractors, tenants and the public
  • Strong ability to work under pressure and manage tight deadlines, handle multiple demands and competing priorities 
  • Advanced knowledge of Microsoft Office
  • Working knowledge of JD Edwards and/or Yardi accounting systems is beneficial
