Our client, a well-established and reputable commercial property management firm with a nationwide presence, is seeking a Property Services Coordinator to join their collaborative team in Calgary. In this role, you will support operations across a commercial office portfolio, working closely with the Property Manager. This is a key position focused on tenant relations, vendor management, and administrative support. The role is fully in-office within a warm, team-oriented environment. Please note: obtaining security clearance will be required for this position.
The ideal candidate will bring 3+ years of experience in commercial property management, outstanding communication skills, excellent customer service capabilities, and strong organizational attention to detail.

Responsibilities:

  • Foster strong communication with contractors, consultants, tenants, sub-tenants, the general public, and government representatives.
  • Respond to and manage tenant requests, concerns, and inquiries promptly.
  • Maintain and update the open Purchase Order list monthly.
  • Prepare and administer service contract tenders, addendums, clarifications, and participate in tender walk-throughs.
  • Draft service contracts and agreements for execution.
  • Complete incident reports as necessary.
  • Assist in managing contractors' federal security clearance requirements.
  • Update and maintain contractor and active contract lists.
  • Coordinate supplier and contractor setups within the payables system.
  • Conduct monthly building inspections.
  • Organize annual building maintenance activities, such as window and carpet cleaning, and coordinate access with tenants and retailers.
  • Coordinate health and safety meetings with contractors and complete associated documentation.
  • Maintain records of WCB and insurance certificates for contractors and liaise with Safe Contractor to ensure compliance.
  • Cross-train and provide coverage for Administrative Assistant duties when required.
Qualifications:
  • Minimum of 3 years' experience in commercial property management or real estate operations.
  • Graduate of a Business Administration program from a community college or equivalent practical experience.
  • Strong verbal and written communication skills in English.
  • High attention to detail with flexibility, problem-solving abilities, and a self-starter attitude.
  • Ability to work calmly under pressure while maintaining a strong sense of urgency.
  • Excellent organizational and multi-tasking skills with a strong sense of ownership and accountability.
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Teams, Outlook); experience with Yardi or similar property management systems is an asset.
  • A positive, team-oriented approach with a dynamic work ethic.
Compensation: The successful candidate will receive an annual base salary between $65,000 - $75,000, commensurate with experience, plus participation in a comprehensive benefits plan.
